The 5 details to capture on every new-customer call

The five must-haves

  • Name — spelled right, so your follow-up doesn't feel like a cold call.
  • Best callback number — and confirm it back to them out loud.
  • Address or service area — so you can judge the drive and the job before you call back.
  • What they need — in their words, plus any detail that tells you how urgent it is.
  • Best time to reach them — so your callback actually connects.

Why it matters

A callback with all five details lets you show up to the phone ready to book — you already know the job, the location, and the urgency. A callback missing two of them turns into three rounds of voicemail and, often, a lost customer.

Make it consistent
